About the Role

We are currently seeking an experienced Document Controller to join a major data centre project in Dublin. This role will play a key part in supporting the senior project team and ensuring the smooth operation of a fast-paced, dynamic site environment.

Key Responsibilities

  • Ensure all project documentation is compliant with the established Integrated Management System (IMS) and that the correct protocols are followed for creation, review, and approval.
  • Distribute documentation to all relevant stakeholders in a timely manner, and track the receipt of documentation to maintain clear records of communication.
  • Maintain up-to-date and organised records of all project-related documents, including drawings, schedules, specifications, contract correspondence, submittals, RFIs, and progress reports.
  • Monitor and manage various project registers and logs such as the document register, RFI register, action log, and issue log, ensuring they are current and accurate.
  • Interpret and summarise data from registers and logs to support project tracking, reporting, and decision-making.
  • Produce and circulate regular status and overdue reports to highlight outstanding documentation, actions, and project-related issues.
  • Oversee the correct storage and version control of documents to ensure easy access and traceability in line with document control procedures.
  • Liaise with external consultants and contractors to ensure they comply with project-specific document control standards and procedures.
  • Support the implementation and auditing of quality assurance, quality control, and health and safety processes by contributing to internal and external audits as required.

Requirements

  • Minimum of 2 years’ experience in a similar document control role, preferably within the construction industry on large-scale projects.
  • Excellent written and verbal communication skills in English.
  • Strong organisational and interpersonal skills, with a keen attention to detail.
  • Proficiency in Microsoft Office Suite, particularly Excel, Word, and Outlook.
  • Experience with document management systems or knowledge-sharing platforms (e.g., Aconex, SharePoint, Procore) is advantageous.
